What does an AI agent for WhatsApp actually do?
It sits on the number your customers already write to. When a message arrives, the agent reads it, looks at what you taught it about the business, and writes a reply in your name. No menu, no "press 1 for sales". The customer types the way they always type, and gets an answer back.
The useful part is not the typing. It is that the reply arrives at eleven at night, on a Sunday, and while you are with another customer. Most small businesses do not lose sales because their answers are bad. They lose them because the answer came four hours late and the buyer had already written to someone else.
- Answers the questions you get twenty times a week: price, hours, address, do you have this, do you deliver here.

How do you connect an AI agent to a WhatsApp number?
There are two routes, and the difference matters more than most guides admit.
The official Meta route
This is the WhatsApp Business Platform, the one Meta built for businesses that want software on the number. You connect through Meta directly, your business gets verified, and the number becomes a proper business number with a display name. It is the route that does not break when you grow, and it is the one that allows template messages, which is how you legally reach someone outside the 24-hour window.
The cost is that you go through business verification, and the number stops working in the ordinary WhatsApp app on your phone. That surprises people, so decide it on purpose: a number on the official platform is used through the software, not through the phone app.
Pairing by QR code
You scan a code with the phone that has the number, the same way you would open WhatsApp on a computer. It takes minutes and needs no verification, which makes it the fast way to see whether an agent is worth it at all.
The trade is that the session lives on that phone. If the phone goes offline for a long stretch, or someone logs the session out, the connection drops and has to be paired again. It is a good way to test and a fragile way to run a business for years.
Whichever link someone sends you to connect, check which of the two it opens. They are not the same product, and a link that does not say is usually the QR one.
What do you have to teach the agent before it answers anyone?
This is the whole job, and it is where a week of real work goes. A general model knows English. It does not know that you close at two on Saturdays, that you do not service that model any more, or that the price on the website went up last month.
- What you sell, in the words your customers use, not the words on your invoice.
- What you do not sell. This prevents the most expensive failure, which is an agent politely agreeing to something you cannot deliver.
- Prices, and what changes them. "It depends on the size" is a real answer if the agent knows how to ask about size.
- Hours, address, delivery area, payment methods.
- The three or four situations where it must stop and call a person: a complaint, a refund, anything legal, anything medical.
Write it once, properly, and the agent sounds like your business. Skip it and the agent sounds like every other chatbot, because that is exactly what it is: a general model with nothing specific to say.
What is the 24-hour window and why does it matter?
On the official platform, Meta separates two things: replying to someone who wrote to you, and starting a conversation with someone who did not.
For 24 hours after a customer's last message, you can reply freely, with whatever text you want. After that window closes, you can no longer just send a message. You have to use a template that Meta approved in advance, and templates have rules about what they can say.
This is why a follow-up strategy has to be designed, not improvised. "I will message everyone who did not answer, three days later" is a plan that only works if the template exists and was approved before you need it.
If a tool promises unlimited outbound messaging on WhatsApp with no templates and no approval, it is either using the QR route, where Meta's platform rules do not apply the same way, or it is describing something that gets numbers banned. Ask which.
When should the agent stop and call a person?
Set this before you turn anything on, because the default is bad. An agent with no handover rule will try to answer everything, and the two conversations you least want it to improvise on are the angry one and the expensive one.
- The customer is upset, or used the word "refund", "cancel" or "complaint".
- The question is about something with legal or medical weight.
- The customer asked the same thing twice, which means the answer did not land.
- The deal is above whatever number you decide is worth your own attention.
- The customer asked to speak to a person. Always. Immediately.
A handover is not a failure of the agent. It is the agent doing the job of a good receptionist, which includes knowing who to pass the phone to.
How do you know if it is working?
Not by reading the dashboard. Read twenty real conversations, end to end, a week after you turn it on. It takes half an hour and it tells you more than any chart.
